Private interventions significantly impact Italy’s cultural heritage, yet their documentation is rarely preserved or accessible. This study highlights the crucial role of digital tools in documenting knowledge emerging from conservation sites. The digital and ecological transitions represent pillars of European socio-economic development. Italian law (D.Lgs. 36/2023) mandates digitising public contracts and using digital tools for restoration projects on existing buildings exceeding two million euros. However, a critical approach is necessary; inserting raw data into 3D models limits the potential of digital tools. Archival choices made today will shape tomorrow’s knowledge of buildings’ material history, viewing the conservation site not only as an intervention space but also as a learning environment. This study proposes a digital cultural ecosystem documenting restoration and maintenance sites with conceptual depth. It defines operative protocols for the meta-project of digitalisation in private heritage surface restoration. The methodology involves structuring a database, analysing digital representation systems, and integrating models with an epistemological structure to assess information frameworks. Applications using GIS (Geographic Information System) and BIM (Building Information Modeling) ensure a structured approach to spatial and semantic data management. Future conservation challenges demand structured digital transformation, redefining operational protocols and creating new digital work models for both public and private sectors.
